2. STATEMENT OF PRIVACY AND ACCEPTANCE OF THE PRIVACY POLICY
2.1 HireHop is committed to protecting your privacy and developing technology that gives you the most powerful and safe online experience. We comply with all necessary EU and UK data regulations, and our privacy policy (hereinafter known as the ”Privacy Policy”) applies to when you use our websites (hirehop.com, hirehop.co.uk, myhirehop.com and myhirehop.co.uk) and all other connected HireHop websites worldwide (hereinafter known as the ”Websites”).
2.2 This Privacy Policy governs the collection and usage by us of your personal information (meaning any information that identifies you, e.g. your e-mail address, name, address, etc) (hereinafter known as your ”Personal Data”). By using our Websites, you consent to the data practices described in this Privacy Policy.
3. USE OF YOUR PERSONAL DATA
What will HireHop do with my Personal Data?
3.1 HireHop collects and processes your Personal Data for the following purposes:
3.1.1 HireHop service updates
HireHop may send out periodic e-mails informing you of technical service issues, product surveys, new feature announcements and news about HireHop products and services. These e-mails are considered essential to the provision of the service you have requested. You will not be able to choose to unsubscribe to these mailings, as they are considered a part of the service you have chosen.
3.1.2 Marketing and research
HireHop may use your Personal Data to inform you of other products or services available from HireHop (to unsubscribe from this, see the below section titled ”Control of your Personal Data”).
3.1.3 Partners and Agents
HireHop may give your Personal Data to our partners and agents local to you so that they can offer and give you support services.
3.2 HireHop may also contact you via surveys to conduct research about your experience and opinion of current services or of potential new services that may be offered. For information on how to limit or stop any such communications, see the below section titled ”Control of your Personal Data”.
3.3 Control of your Personal Data
You may stop the delivery of future promotional e-mails from HireHop by following the specific instructions in any e-mail we send you, which is usually an unsubscribe link..
3.4 Who will HireHop share my Personal Data with?
HireHop will not sell, rent or lease its customer lists to third parties. If however you you are interested in a third party service on our websites and click the appropriate link, we may use this data to asses which third party services you utilised.
HireHop will share your Personal Data with the following third parties (such third parties are prohibited from using your Personal Data except to provide these services to HireHop);
3.4.1 HireHop’s operational service partners in order to operate the Websites and deliver the services you have requested; and/or
3.4.2 with trusted partners and agents to help us perform statistical analysis, send you email or postal mail, or provide customer support.
3.5 HireHop will not disclose your Personal Data to any other third parties without your consent unless required to do so by law or in the good faith belief that such action is necessary to:
3.5.1 conform to the edicts of the law or comply with legal process served on HireHop or the Websites;
3.5.2 protect and defend the rights or property of HireHop and/or the Websites; and
3.5.3 act under exigent circumstances to protect the personal safety of users of the Websites.
3.6 Please keep in mind that if you publicly disclose Personal Data through our Websites, we are not responsible for the security of the Personal Data you publicly disclose and it may be collected and used by others.
3.7 HireHop encourages you to review the privacy statements of all the websites you choose to link to from our Websites so that you can understand how those websites collect, use and share your information. HireHop is not responsible for the privacy statements or other content on websites it may link to.
3.8 All data personal data stored about you by HireHop can be edited and updated by you from within the HireHop software. It is your responsibility to keep this information up to date and accurate.
3.9 HireHop will release any personal data to the relevant authority and/or body should it be ordered to do so by a court order that is valid in the United Kingdom, or by order of an applicable State under GDPR.
3.10 All passwords stored on HireHop to access the system are maintained by you and subject to strong encryption within a sandboxed database. HireHop, or any of it’s employees, has no access to the original passwords and can’t decipher the encrypted ones. HireHop can email a temporary random password to the main user upon their request should they forget their password, however all other passwords for users within your organisation are managed by you, as HireHop and its employees are unable to change or decipher them.
3.11 You can grant HireHop, it’s employees and appropriate agents temporary permission to access your data for the purpose of support. This permission can be revoked in the same way it is authorised, and HireHop recommend that you revoke said permission once the support call has concluded. If the permission is revoked within the system, HireHop, its employees and agents can’t access you data.
4. HIREHOP TRANSACTIONAL DATA RETENTION POLICY
Upon automatic termination of your subscription with HireHop and an inactive account, your account and all the data provided by you to HireHop will be retained for a period of 6 (six) months from the date your subscription terminates before being securely deleted. As an additional automated courtesy, at our discretion, we will may give you 1 (one) month’s notice of this deletion. During the period between termination and deletion of the data you may request an export file of a copy of a limited subset of your unformatted transactional data for a nominal administration fee.
5. SUBJECT ACCESS REQUESTS
If you wish to find out what Personal Data we hold about you, you can make a subject access request under the Data Protection Act 1998. Your request must be in writing and should detail the nature and likely location of your Personal Data, along with proof of ID and payment of the relevant fee (currently £10). You should send your request in writing to HireHop, 56 Enterprise Centre, Cranborne Road, Potters Bar, Hertfordshire, EN6 3DQ, UNITED KINGDOM.
6. USE OF COOKIES
6.1 HireHop uses ”cookies” to help you personalise your online experience and for security. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a web server in the domain that issued the cookie to you. It is essential that in order to use the HireHop rental management system, you must enable cookies, and by agreeing to use the system, you agree to allow use to store cookies on on your machine. 6.2 HireHop keeps track of the websites and pages our customers visit within our Websites in order to determine which services and facilities are the most popular. Any Personal Data collected in this way may be used to deliver customised content and advertising within the HireHop business to customers whose behaviour indicates that they are interested in a particular subject area.
6.3 There is also information about your computer hardware and software that is automatically collected by HireHop. This information can include: your IP address, address, browser type, access times and referring web site addresses. This information is used by HireHop for the operation of the service, to maintain quality of the service, and to provide general statistics regarding use of our Websites.
6.4 You have the ability to accept or decline cookies through your browser settings. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. If you choose to decline cookies, you will not be able to use our Site.
6.5 On 25 January 2012, the European Commission unveiled a draft European General Data Protection Regulation that will supersede the Data Protection Directive which will take effect in 2016, of which we have fully complied with. Although it is not necessary, we have also adopted the recommendations of the Open Web Application Security Project (www.owasp.org) and Web Application Security Consortium (www.webappsec.org), that includes extensive logging, two stage login, encrypted passwords, etc.
7. SECURITY OF YOUR PERSONAL DATA
7.1 HireHop secures your Personal Data from unauthorised access, use or disclosure. HireHop secures the Personal Data you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use or disclosure. When Personal Data is transmitted over the internet it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.
7.2 For the purposes of data processing, the information and Personal Data you provide to us may be transferred to countries outside of the European Economic Area (”EEA”). This will happen when using any of our servers located in a country outside the EEA, or if one of our service providers is located in a country outside the EEA. These countries may not have similar data protection laws to the EEA. If we transfer your information outside of the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected.
7.3 In addition, if you use our services while you are outside the EEA, your Personal Data may be transferred outside the EEA in order to provide you with those services.
7.4 All data is managed via the Amazon Web Services RDS service, and is behind AWS Security Groups firewalls. By agreeing to use the services of HireHop, you also agree to allow HireHop to use Amazon Web Services to store and maintain your data.
7.5 All payment data for the automated monthly subscription payments for credit or debit card payments solely retained by Stripe. HireHop does not retain any credit or debit card information.
8. CHANGES TO THIS PRIVACY POLICY
We reserve the right to update and change this policy without notice and therefore recomend that you to periodically review this Privacy Policy.

11. STORAGE LOCATION
HireHop Software is completely cloud based, and only needs a web browser for use, you do not need to install any software and you consent that to allow all data to be stored and backed using Amazon Web Services replicated servers in Sweden and the United States.
